Here’s a curated list of tools, systems and courses I use and recommend for online businesses.
Running an online business can be overwhelming, especially with so many tool and system options out there. That’s why I’ve done the heavy lifting for you. I’ve tested, experimented and compared different tools to determine what works, what doesn’t, and the situations and conditions where each tool truly shines.

Acuity Scheduling
Acuity Scheduling (from Squarespace) makes booking appointments easy for both you and your clients. I like how it lets you customize availability, send automated reminders, and accept payments—all in one place.

Calendly
Calendly is a simple, user-friendly scheduler that helps you avoid the back-and-forth of booking meetings. Just share your link, and people can pick a time that works based on your calendar.
Business Management

Dubsado
Dubsado is a flexible, all-in-one client management + business management platform for service-based businesses, freelancers and solopreneurs. It handles lead management, appointment scheduling, contracts, invoicing, workflows, tasks, and scheduling all in one place. It allows you to fully customize every part of your client onboarding and experience, from intake forms to automations and reporting. It also features a client portal where your customers can access all their documents, files and invoices and receipts.
Communication

Slack
Slack is my go-to for team communication and quick collaboration. It’s like a virtual office where conversations stay organized in channels, making it easy to keep topics separate. You can integrate it with other software tools like Google Drive, Asana, and Zoom. It also encourages collaboration within teams by allowing quick huddles and sharing of audio or video clips.

Google Meet
Google Meet is a solid, no-fuss video conferencing tool—especially if you’re already using Google Workspace. I like how easy it is to hop on a call straight from a calendar invite or email. No downloads, no mess. It works right in your browser and the meeting link is automatically created when you schedule the event on your Google calendar.

Voxer
Voxer is like a walkie-talkie for your business—it’s a mobile and web app that's great for sending voice messages. It’s especially helpful for working with remote teams or with clients who are always on the go. Plus, messages are saved, so you can replay anything if you need a refresher.

Zoom
Zoom is a videoconferencing platform, great for more polished, professional meetings and webinars. It’s packed with features like screen sharing, breakout rooms, recordings, virtual backgrounds, etc. that make it great for webinar and client presentations, team meetings, and large events. It is very stable, even with big groups, and gives you more control over how you host and manage your meetings.

AccessAlly
AccessAlly is a WordPress-based platform for building online courses and memberships with a lot of flexibility. It’s easy-to-setup, easy-to-use and well-suited for those who need advanced features like progress tracking, gamification, custom learning paths and affiliate programs.

Circle
Circle.so is a flexible platform designed to host online communities, courses, and live events all in one place. It’s great for creators who want to build an interactive space with a mix of content, connection and events (live and virtual).

Heartbeat
Heartbeat is a community-first platform with built-in features like group chat, events, and course hosting. It works well for businesses that prioritize interaction, with straightforward, simple courses and want their learning space to feel more like an active community hub than a traditional course site.

Kajabi
Kajabi is the all-in-one platform for digital entrepreneurs. You can create and sell online courses, memberships, coaching programs, and even build your entire website. It’s perfect if you want a polished, out-of-the-box solution that handles email marketing, landing pages, and payments—all in one place.

Membership.io
Membership.io (formerly Searchie) was built with video and content in mind. It's an all-in-one membership and community platform that allows you to have all of your content (audio, video, text files, etc.) stored in one place.

ActiveCampaign
ActiveCampaign combines email marketing with advanced automation and built-in CRM features. It’s especially useful for businesses that want to go beyond basic campaigns and create personalized customer journeys based on actions, tags, and engagement. Great for scaling businesses that need more detailed control over their marketing and sales processes.

Constant Contact
Constant Contact is an all-in-one marketing tool that’s pretty popular with nonprofits and small service-based businesses. It offers email templates, basic automation, event marketing tools, and even social media scheduling. It’s reliable and easy to use if you want everything in one place.

Drip
Drip is built for eCommerce businesses that want to get serious about personalization and automation. It lets you tag, segment, and follow up based on customer behavior like purchases or site visits. If you run an online shop, Drip is a powerful option with strong integrations.

High Level (Go High Level)
HighLevel is an all-in-one marketing and CRM platform built with agencies, coaches, and service providers in mind. It brings together tools for email and text marketing, sales funnels, appointment booking, automation, and client management so you don’t have to juggle a bunch of different apps. It’s a strong option if you’re looking to run everything, from lead capture to follow-up all in one place.

Keap (formerly Infusionsoft)
Keap is a CRM and marketing automation powerhouse. It’s great for service-based businesses that want to automate and track their entire sales pipeline, manage leads and follow-ups and sales all in the same place. It's not as easy-to-use as other CRM software tools (the learning curve is a bit steeper), but it is still a good option if you have experienced tech people in your team and need something more advanced than just an email marketing tool.

Kit (formerly Convertkit)
Kit (formerly Convertkit) is designed with creators in mind (bloggers, influencers, coaches, and digital product sellers). It’s very simple to use, especially when it comes to creating automated email sequences and segmenting your audience based on behavior. It also provides opt-in forms, landing pages, lead nurturing and e-commerce capabilities.

Mailchimp
Mailchimp is one of the most beginner-friendly email marketing tools out there. It’s great for getting started with newsletters, workflows and automations, and simple audience segmentation. It provides a drag-and-drop builder makes designing emails easy, and it also offers basic CRM features and landing pages.

Ontraport
Ontraport is a robust all-in-one platform designed for businesses that need more than just email marketing. It includes CRM, automation, landing pages, payments, and even a platform for memberships or online courses. Ideal for service providers and online business owners who want to streamline their backend operations in one system.

HelpScout is a friendly help desk platform designed to manage customer support tickets without losing that personal email feel. It’s ideal for teams that want to deliver fast, organized, and human support through shared inboxes and easy collaboration.

Google Drive is my go-to for organizing and sharing files, especially when I’m collaborating with others. Jira is the go-to tool for project teams using Agile methodology. It’s perfect for managing sprints, tracking tasks, and squashing bugs with customizable Scrum and Kanban boards. Its strength lies when you need to plan and manage backlogs, sprints, and workflows.

Teamwork PM is built for client service teams and agencies, making it easy to manage projects, track time, and even handle billing. It’s got all the tools you need for smooth project delivery and documenatation and works well with apps like Slack and Google Drive.

Trello
